OakNex ("we", "us", "our") provides OakNex MRP, a multi-tenant manufacturing operations platform. This policy explains what personal data we collect, why we collect it, and how it's handled when you use our website or product.

Who we are

The data controller for personal data processed through OakNex is:

What we collect

  • Account data — your name, email address, and a hashed password (we never store passwords in plain text).
  • Workspace data — the business data you or your team enter into OakNex, such as items, recipes, orders, and customer or supplier records.
  • Technical logs — IP address, user agent, and request logs, kept for security and troubleshooting.
  • Cookies — limited to session and CSRF-protection cookies required for the app to function. We don't use advertising or third-party tracking cookies.

Why we collect it

  • To provide and operate the OakNex service you've signed up for.
  • To authenticate you and keep your account and workspace secure.
  • To send transactional emails (e.g. password resets, order notifications) that you or your workflow trigger.
  • To diagnose and fix technical issues.

Who we share it with

We use a small number of processors to run the service, each bound by a data processing agreement:

  • Our hosting provider (EU-based infrastructure).
  • A transactional email delivery service, used only to send emails your account or workflow triggers.
  • Cloudflare, for content delivery and security (DDoS protection, bot mitigation).

We do not sell your data or share it with advertisers.

Cookies

We keep cookie use to the minimum needed to run the service, and we do not use advertising, cross-site tracking, or analytics cookies.

  • This website (oaknex.com marketing pages) sets no cookies.
  • Analytics is provided by Cloudflare Web Analytics, which is privacy-first: it uses no cookies and does not fingerprint or track individual visitors across sites.
  • Fonts are self-hosted, so viewing the site sends no data to third-party font providers.
  • The application (after you sign in) uses only strictly necessary cookies — a session cookie and a CSRF-protection token — required for login and security. These are exempt from consent under the ePrivacy Directive.

Because we set no advertising or non-essential tracking cookies, we do not display a cookie consent banner. If we ever introduce non-essential cookies, we will ask for your consent first.

Where it's stored

All personal and workspace data is stored on servers located in the European Union.

Your rights (GDPR)

If you're in the EU/EEA, you have the right to:

  • Access the personal data we hold about you.
  • Correct inaccurate data.
  • Request deletion of your data.
  • Export your data in a portable format.
  • Object to or restrict certain processing.
  • Lodge a complaint with your local data protection authority.

You can export your workspace data at any time from within the app. To request deletion of your account or data, contact support@oaknex.com.

Changes to this policy

If we make material changes to this policy, we'll notify account owners by email before the changes take effect.
